Grant Purpose
Your grant agreement specifically states the grant purpose that your grant is intended to fund. If something changes with your work or circumstances, you MUST communicate with ECF’s Executive Director at the time of the change to determine if the grant is still valid or if the funds must be refunded (per the grant agreement). Simply reporting these changes in the final report without prior communication may be grounds for requiring that your grant be refunded, even if the funds have already been spent.


Outcomes Reporting
Your application outlined what you hope to achieve with your grant funds. Your final report should revisit these outcomes and report against them in detail. Your Logic Model is a great document to review when reporting on your proposed outcomes. As a reminder, don't confuse outcomes with outputs.





Financial Reporting
As a part of your application, you were required to provide a detailed, itemized budget for your grant proposal. Your final report should clearly outline how your funds were utilized to the grant purpose by providing supporting documentation (per the grant agreement). This includes a record of the expenditures for our review (per the agreement) such as a report against the budget from the application, receipts for expenses, etc.



Technical Note: Our software can only accept a total of 35MB across all files uploaded to your form. If your attachments are particularly large (especially with photos), please contact us for a workaround.


Recognition/Publicity

We have found that screenshots of social media posts, forwards of email newsletters, and links to local newspaper stories can be difficult for our grantees to gather as a part of their final report (which is often submitted a year or more after the funding was originally provided). To address this, we have created a separate form for submitting proof of your recognition and publicity which allows our grantees to submit recognition at any time.


You can submit at the start of your grant, during your grant, and as you're submitting this final report - submit as many times as needed!

Photographs
We are constantly seeking photos to help us tell the stories of how our grants are being utilized. We also recognize that when working with clients, there are often limitations on photos due to confidentiality. Please send us any photos that are appropriate for us to share publicly.

We prefer to receive photos as JPGs or PNGs, the larger the file size the better! They are much higher quality than images printed on paper and scanned or inserted into Word documents.
